Responsibilities

Overall Responsibilities:

PCG is seeking highly motivated and dependable PROGRAM ASSISTANT to support the day to day operations involved in our San Diego, CA CalWORKS Welfare-to-Work/Refugee employment services operation. This individual will complete county paperwork, utilize the CalWIN, perform data entry, reporting tasks and scheduling tasks. This individual will also be required to provide customer service in a professional and friendly manner, complete assigned tasks accurately and timely; and support the project by completing other various clerical duties. This role is ideal for an administrative professional with excellent attention to detail, interpersonal and customer service skills.

Specific Responsibilities:

 

  • Generate comprehensive accurate reports to provide all staff with timely information and ensuring a better understanding of current operations.
  • Review/enter accurate data into databases.
  • Assist clients and providers over the phone and in person.
  • Maintain up-to-date knowledge of CalWORKs procedures and implement appropriately.
  • Complete necessary county paper documents and forms with required data or information.
  • Compile, copy, sort and file data activity records.
  • Communicate regularly with all staff to disseminate timely information.
  • Complete all necessary county paper documents and forms.
  • Produce monthly, quarterly, and annual reports required by the county.
  • Produce monthly, quarterly, and annual reports required by Supervisor, management and/or County.
  • Ensure all performance metrics are met in achieving participant stated outcomes.
  • Assist with or complete other duties as assigned.
  • Conduct searches to find needed information, using such sources as the Internet.
  • Manage projects or contribute to committee or team work.
  • Provide small workshops to participants.

Computer Lab:

  • Provides customer service, including greeting clients as they enter or exit the building in a professional and friendly manner and answering routine questions for participants.
  • Help direct participant traffic in the lobby.
  • Provide outreach to new clients and follow up on referrals.
  • Establishes and maintains files in accordance with program standards.
  • Performs data entry and record keeping.
  • Creates case files for new participants.
  • Scheduling appointments for new and existing clients for services.
  • Provide technical support for clients using computer lab.
  • Monitor computer system performance to ensure proper operation.
  • Teach others to use computer equipment or hardware.
  • Train others in computer interface or software use.
  • Document operational activities.
  • Answer user inquiries regarding computer software or hardware operation to resolve problems.
  • Oversee the daily performance of computer systems.

Qualifications

Required Skills:

  • Ability to review numerous data points while paying strict attention to detail.
  • Ability to manage and analyze significant amounts of data.
  • Ability to prioritize work and meet deadlines.
  • Ability to work independently and within a team.
  • Ability to learn specialized databases and software systems.
  • Familiarity with scanning and general office equipment.
  • Ability to recognize and maintain the confidentiality of all materials in the work setting.
  • Demonstrated ability to use various computer systems preferably CalWIN although not required
  • Ability to maintain a record keeping and follow-up system.
  • Ability to work independently on multiple projects simultaneously.
  • Excellent interpersonal and customer service skills.
  • Strong oral and written communication skills, including the ability to speak professionally and effectively on the phone and in person.
  • Ability to handle multiple tasks under pressure.
  • Skilled in managing multiple line phone system, filing, record keeping, computer operations, data entry and other clerical functions.
  • Experience with Microsoft Office applications, specifically Excel, Access and Word. Experience with database software is also a plus.
  • Experience with CalWIN a plus.
  • Familiarity with scanning and general office equipment.

 

 Required Education and Experience:

  • High School diploma required, preferably Associates or Bachelor’s degree.
  • 0-2 years of relevant experience in managing data including data entry and analysis, as well as 0-2 years relevant experience in customer service.
  • Fluent in English; bilingual or multilingual candidates desired specifically in Spanish.

 

 

Compensation

Compensation for roles at Public Consulting Group varies depending on a wide array of factors including, but not limited to, the specific office location, role, skill set, and level of experience. As required by applicable law, PCG provides the following reasonable range of compensation for this role: $19.00 - $22.00 HR. In addition, PCG provides a range of benefits for this role.
