Responsibilities

We are looking for an enthusiastic problem-solver who is self-motivated and a self-starter. Applicants should be up for a challenge and excited to work as an integral part of a team to support executive management and be someone who is passionate about helping an organization run effectively. This position is responsible for coordinating communications and project support across the practice area, providing assistance to executive management team members with the goal of streamlining operations.

  • Coordinates and organizes new hire on-boarding activities for the practice area.
  • Responsible for communication support across the practice area including positive reinforcements.
  • Proposal development support.
  • Document production and proper storage in customer relationship management system.
  • Assists with weekly business development and procurement bid/no bid decision process
  • Takes ownership of monthly reports and presentations required for corporate senior leadership meetings
  • Coordinates practice area wide and management team meetings internally and externally.
  • Books travel arrangements as requested.
  • Assists with planning and execution of annual staff meetings, retreats and conferences as needed.
  • Manages signatures for Practice Area Director(s) including for contracts, proposals and invoicing
  • Performs various administrative functions as requested.
  • Researches information on the Internet as requested.
  • Manages calendar of corporate events, assuring proactive compliance with deadlines
  • Acts as backup approver for timesheets and expense reports for practice area overhead accounts
  • Assists with staff utilization reports across the practice area
  • Assists with periodic project work as time and talent allows across the practice area

 

Qualifications

Required Skills

 

  • Excellent verbal and written communications skills.
  • Able to work independently and under tight deadlines.
  • Able to demonstrate sound judgment.
  • Able to maintain confidentiality.
  • Excellent customer service skills.
  • Outstanding word processing and MS Office skills, including strong Excel skills.
  • Ability to represent management staff and corporate in professional manner.

Qualifications

Bachelor’s Degree preferred or Associate's Degree with equivalent professional experience

3+ years’ experience of solid administrative work, prior experience in a busy, professional environment is required
